8-12 weeks out: lock the design
Freeze your stand concept early. Custom builds need design time, approvals and fabrication slots รขโฌ" builders who design GITEX stands every year will tell you the realistic timeline. Book your hall position, then design the stand around your objectives, not the other way around.
6-8 weeks out: paperwork
- Submit DWTC contractor forms and health & safety declarations
- Order electricity, internet and water connections for the stand
- Arrange visas and flights for international staff early
4 weeks out: content and demos
Prepare demo scripts, gather printed collateral briefs and brief your team on the lead-qualification questions. A simple rule: every visitor should leave knowing exactly what you do and what the next step is.
The show is won in the weeks before it opens, not on the opening morning.
Build-up week
Confirm your builder's build-up slot, do a full stand inspection with a printed checklist, photograph the finished stand for your team briefing, and test every screen and light before doors open.
During the show
Capture leads in one system, hold a 15-minute end-of-day debrief and adjust stand staffing or demo flow based on what actually drew visitors.
